Responsibilities:
- Serve as the main contact for current and potential residents, offering virtual assistance on a range of matters such as maintenance requests, lease signings, pricing details, showings scheduling, and event follow-ups.
- Conduct follow-ups with residents regarding delinquent accounts.
- Handle paperwork including leases, lease amendments, property-level contracts, and lease renewals.
- Disseminate important announcements and notices to residents through various communication channels.
- Support the operations manager with administrative tasks related to resident and vendor management, as well as internal tasks.
- Manage general office operations including ordering supplies, scheduling maintenance, and coordinating couriers.
- Oversee monthly asset management fees for all assets/entities.
- Prepare executive and employee expense reports, organize receipts, and upload data on a monthly basis.
- Coordinate with legal counsel for annual shareholder/partnership resolutions and filings.
- Conduct market research and maintain contact lists.
- Manage calendars and appointments as required.
- Create and track tasks and reminders for the team, ensuring timely follow-up.
- Aid residents in processing rent payments.
Qualifications:
- Previous experience as a Virtual Assistant, preferably within the Real Estate sector.
- Proficiency in various computer programs including MS Word, MS Excel, MS PowerPoint, Google Drive, and Dropbox.
- Ability to promptly respond to phone calls, texts, and emails during working hours.
- Strong organizational skills are essential.
- Familiarity with property management software is preferred.
- Knowledge of online calendars and scheduling tools such as Outlook and Doodle is advantageous.
